Position Purpose

Assist Business Systems Manager in all aspects of business systems and be the backup during Business System manager absence. Provide support to assure that all data input and output are done timely and accurately to provide financial reports and billings based on established departmental, company, and ISO procedures, while meeting the customer commitments in a professional, high quality and timely manner. 

Position Responsibilities

  • Audit, process, generate and deliver all billings for Service work orders
  • Process and generate all credits related to Service work orders
  • Post daily costs for Service work orders
  • Review customer purchase orders to ensure inclusions/exclusions of all customer purchase orders for billing
  • Submit invoices and monitor customer portals related to Service billings
  • Understand tax exempt entity, use tax rules and utilize knowledge in billing work orders.  Consult with accounting resources as needed
  • Process customer applications in a timely manner
  • Work with Accounting staff to ensure all Service billing information is correct and accurate 
  • Approve Service technicians’ weekly expenses
  • Assist internal and external customers with questions or problems
  • Work with Service managers and Service Supervisors weekly on the service report review to process billings 
  • Assist Business Systems Manager with auditing of all invoices related to the service department and back up as needed
  • Other duties as assigned

Summary of Skills, Knowledge and Abilities

  • Excellent communication/customer service skills
  • To perform this job successfully, an individual should have computer skills/knowledge of Microsoft Word, Excel and Outlook.
  • Knowledge of office procedures and methods including telephone communications/etiquette, office systems, and record keeping.
  • Ability to establish priorities, work independently, and proceed with objectives without supervision.
