JOB OVERVIEW:
The Finance Manager is responsible for overseeing the company’s financial operations, including budgeting, reporting, compliance, and strategic financial planning. This role provides financial insights to leadership, manages internal controls, and identifies opportunities for process improvement. This position supervises a part-time bookkeeper responsible for accounts receivable, accounts payable, and payroll functions, ensuring accuracy and efficiency in day-to-day financial tasks.
RESPONSIBILITIES:
Strategic Financial Leadership
• Lead and support strategic financial initiatives aligned with the company’s goals.
• Identify cost-saving opportunities and areas for financial optimization.
• Manage the company’s bonus and incentive program by analyzing financial performance and job-specific profitability. Develop payout structures, advise leadership on distributions, and coordinate execution with payroll.
• Oversee company sponsorships, donations, and charitable contributions, ensuring alignment with company values and budget priorities.
Financial Reporting & Analysis
• Coordinate and lead the month-end and year-end close processes.
• Prepare, review, and analyze financial statements and provide leadership with actionable insights.
• Produce weekly job cost and profitability reports for managers.
• Maintain and update internal dashboards to track key metrics, including jobs awarded, hours schedule, goal tracking, and P&L by job and team member.
• Assist in preparing annual budgets, forecasts, and long-term planning documents.
• Monitor cash flow and financial variances; recommend cost-control strategies.
• Support directors and project managers with financial reports and help them understand budgets, variances, and financial performance.
• Present financial updates at team meetings and distribute informal monthly summaries via Teams, including visuals and graphs. Operational Financial Management
• Supervise a part-time bookkeeper responsible for accounts payable, accounts receivable, invoice and payroll processing.
• Oversee the company’s use of QuickBooks, including reporting, categorization, and reconciliations.
• Maintain and update the hours schedule on a weekly basis to reflect current staff availability, job assignments, and capacity. Analyze trends in availability, utilization, and overtime to inform resourcing decisions and identify workload imbalances. Provide insights to leadership to support forecasting and strategic staffing decisions.
• Manage employee reimbursements and address related issues.
• Complete and maintain pay raise documentation and related recordkeeping.
• Ensure accuracy of general ledger entries and bank reconciliations.
• Evaluate and manage relationships with financial service providers (banks, accountants, insurance agents), ensuring competitive pricing and reliable service. Compliance & Internal Controls
• Ensure adherence to relevant accounting standards and regulatory requirements.
• Develop, document, and maintain internal controls to protect company assets.
• Coordinate and liaise with external auditors; manage the audit process.
SUMMARY OF SKILLS, KNOWLEDGE, AND ABILITIES:
• Proficient in QuickBooks, with a strong understanding of chart of accounts, job costing, reconciliations, and financial reporting features.
• Highly skilled in Microsoft Teams for collaboration, communication, file sharing, and maintaining shared dashboards and reports.
• Solid understanding of accounting principles (GAAP), internal controls, and financial compliance standards.
• Strong analytical skills with the ability to interpret financial data and provide actionable insights.
• Experience in budgeting, forecasting, and variance analysis, including the ability to support team leaders with customized reports and tools.
• Demonstrated ability to manage multiple financial functions, including reporting, cash flow, and payroll oversight.
• Excellent organizational skills and attention to detail.
• Strong communication skills, with the ability to explain financial concepts to non-financial team members and collaborate across departments.
• High level of integrity, discretion, and professionalism when handling confidential information.
• Ability to identify process improvements and drive efficiency in financial operations.
• Capable of managing and mentoring others, with prior supervisory or oversight experience preferred.
PHYSICAL AND MENTAL REQUIREMENTS:
• Prolonged periods of working at a computer and sitting at a desk in a typical office environment.
• Must be able to occasionally lift up to 15 pounds (files, small equipment).
• Ability to manage multiple deadlines and shifting priorities in a fast-paced environment.
• Strong mental focus and critical thinking skills required to analyze data and make decisions.
• Must be self-motivated and capable of working independently with minimal supervision.
